Billing

 

 

The billing functionality within SAP PS is crucial for project financial control and revenue recognition. There are different types of billing methods available in SAP PS, but two common types are Milestone Billing and Resource-Related Billing.

Milestone Billing
 

Milestone Billing is used when the billing process is aligned with the completion of certain predefined events or milestones in a project. These milestones are significant events or stages in the project lifecycle that have been agreed upon by both the service provider and the customer. Once a milestone is achieved, it triggers an invoice for a portion of the total project value.

How it works:

 

  • Milestone Definition: Project milestones are defined and agreed upon in the project plan or contract. Each milestone is associated with a specific portion of the project's value.

 

  • Milestone Achievement: As the project progresses, the project team updates the status of each milestone in SAP PS upon completion.
     

  • Billing Trigger: Completion of a milestone triggers the billing process, where an invoice is generated for the milestone's value. This is usually predefined as a percentage of the total contract value or as a fixed amount.

 

  • Revenue Recognition: The revenue is recognized upon the billing of the milestone, aligning the company's revenue with the project's progress.

Resource-Related Billing


Resource-Related Billing is used when the billing is based on the resources consumed during the project execution. This can include labor hours, materials used, equipment, or any other billable resources associated with the project.
 

How it works:

 

  • Resource Planning and Tracking: Resources are planned and tracked against the project. This includes time, materials, and any other billable items.

 

  • Cost Rates: Each resource type has an associated cost rate, which can be an hourly rate for labor or a unit cost for materials and other resources.

 

  • Consumption Recording: As the project progresses, the consumption of resources is recorded in SAP PS. This includes hours worked by employees, materials consumed, and the use of equipment.

 

  • Billing Generation: Based on the recorded resource consumption, invoices are generated, reflecting the actual resources utilized in the project. This method ensures that the client is billed for actual work done and resources consumed.

Key Differences

 

  • Trigger for Billing: Milestone billing is triggered by the completion of predefined events or stages, while resource-related billing is based on actual resource consumption.

 

  • Billing Basis: Milestone billing is often based on a fixed price or a percentage of the contract value associated with each milestone, whereas resource-related billing is based on the quantity and cost rate of the resources consumed.

 

  • Project Type Suitability: Milestone billing is suitable for projects with clear, definable, and measurable stages or deliverables, while resource-related billing is more suited for time and material projects where the exact scope may not be defined upfront.

 

Both billing methods can be configured and used within SAP PS, depending on the nature of the project and the contractual agreements with the customer. They can also be used in conjunction to meet the specific billing requirements of a project.
